Which personal data do we process and why?

We process your personal data when you are assessed by Volkers ApS in relation to a recruitment or a development process conducted on behalf of a partner organisation.

We process all personal information that you provide, including data collected from cognitive and psychometric testing, competency-based interviewing and possible interviews with reference persons.

Legal basis for processing personal data

You are providing us written consent to process your personal data based on article 6(1)(a) of the General Data Protection Regulation (hereinafter “GDPR”), and/or article 6(1)(f) specifically if your data is being processed in relation to a recruitment process.

In case you submit personal data to us at your own initiative, we automatically consider having received your consent to process your data, cf. article 9(2)(a) of the GDPR.

Security measures

Your personal data security is of high priority to us. We endeavour to ensure that our processing of your data follows applicable personal data protection laws.

To best protect your personal data, we continuously assess the associated risks. We pay particular attention to protection against discrimination, identity theft, financial loss, loss of reputation and to data confidentiality.

We have adopted strict internal information security procedures to avoid any mishandling of your personal data. We continuously back up our systems, and we use encryption or other security measures where necessary.

Your personal data protection rights

You are entitled to have access to processed personal data concerning you at any time.

You are entitled to rectify any incorrect personal data collected about you.

In certain cases, you have the right to have personal data deleted.

In certain cases, you have the right to request that your personal data will not be processed.

In certain cases, you are entitled to receive your personal data in a structured, commonly used and machine-readable format and to have such personal data readily transferred from one data controller to another.

To whom is your personal data disclosed?

We only disclose your personal data when it is strictly necessary to process a job application, or if disclosure is a legal obligation linked to our role as data controller.

When you are acting as a reference person to a candidate in a recruitment process, we disclose your personal data to operations and software suppliers and other data processors.

When you participate in a development process with us, we disclose your personal data to operations and software suppliers, other data processors and test providers. We only share your data with your line manager or employer when deemed necessary and only upon your written consent.

How long do we keep your data?

All personal data processed in relation to a recruitment process is maintained for maximum six months from the date of the assignment closure, after which data is deleted unless written consent is provided to approve data storage for maximum 24 months.

All personal data processed in relation to interviews with reference persons will be maintained for 24 months from the date of the assignment closure.

All personal data processed in relation to development activities will be maintained for maximum 24 months from the date of the assignment closure.

Filing a complaint

You have the right to file a complaint to the Danish Data Protection Agency if you are not satisfied with the way in which we process your personal data.

However, we sincerely hope that you will reach out to find an adequate solution with us before filling a complaint.
